The WhatsApp Business API is the official way for a business to talk to customers on WhatsApp at scale. It lets a whole team reply from one number, send campaigns to many contacts and connect WhatsApp to your other tools. It is not an app you install on a phone. It is a connection that software uses.
WhatsApp Business app vs the API
Many small businesses start with the free WhatsApp Business app. It works well for a few chats a day. It starts to break down when more people need access or when you want to message many customers at once.

How the API works
Meta owns WhatsApp and runs the official WhatsApp Business Platform. Its Cloud API is the version Meta hosts for you. To use it, your business needs a Meta Business account, a WhatsApp Business Account inside it and a phone number connected to that account.
The API itself has no screens. You need a platform on top of it. The platform gives your team the inbox, the broadcast tool, the chatbot builder and the reports. Some platforms are rented by the month. Others, like Whatsen, are installed on your own server and owned by you.
Two kinds of messages
- Customer-started chats. When a customer messages you first, you can reply freely for a limited window.
- Business-started messages. To message a customer outside that window, you send a template message that Meta has approved. Templates are grouped as marketing, utility or authentication.
What WhatsApp charges
Since 1 July 2025, Meta charges for template messages per message, based on the message category and the country of the customer. Rates change from time to time, so always check Meta's official pricing page for the current numbers. These charges go to Meta. A platform may add its own fee or markup on top, so ask what you will pay in total.
What you need to start
- A Meta Business account for your company. Meta may ask you to verify your business.
- A phone number for WhatsApp. If it is already on the WhatsApp or WhatsApp Business app, it needs to be moved first.
- A platform for the inbox, broadcasts and automation.
- Customer permission. Only message people who agreed to hear from you.
Rent or own your platform
